Biobank Inventory Import
Upload the periodic Samples CSV export from the biobank database. Every upload is a full snapshot: tubes are matched to clinical timepoints, updated in place, and tubes missing from the newest export are marked absent (never deleted).

What happens when I upload a CSV?
Every upload is a full snapshot of the biobank. Each tube is matched to a patient and timepoint in the AML DB using, in order: the ATLAS-CaseID, the Auftragsnummer, and the LVL tube ID from the daily sample list. Nothing is ever deleted — tubes missing from the newest export are only marked as absent. You can upload the same file twice without harm.
What does “suggested” mean in the review queue?
The patient was identified via their patient number (MPI), but the timepoint could not be determined with certainty — the tube's collection date matches no timepoint exactly (a ±1 day difference is proposed automatically, since draw day and processing day often differ). The pre-filled fields show the best guess: check, correct if needed, and press Save. A saved assignment is permanent and survives all future uploads.
What does “unmatched” mean?
The patient number on the tube is unknown to the AML DB — typically patients from other studies (e.g. ALL) or patients not yet registered. If you know who it is, you can assign the tube manually; otherwise it simply stays in the queue.
Why did the queue change although I uploaded the same file?
With every upload, all unconfirmed tubes are re-matched against the current database. When missing ORBIS numbers get filled or new timepoints are registered, tubes resolve automatically and leave the queue. Only manually saved assignments are never touched.
What do the ORBIS suggestions mean?
Two sources are compared per patient: the biobank's MPI and the PID from the lab list. “Confirm ORBIS” fills an empty field. “Replace stored” resolves a conflict where both sources agree on a different number than the database — click only after checking. “Number belongs to …” means a possible duplicate patient record: check both records in Sample Management before doing anything. “Sources differ” cannot be solved here — the biobank and the lab list contradict each other.
What does “0 ml / nothing left to freeze” mean?
The sample arrived and was processed, but no material remained for freezing. The entry documents this — the tube does not exist physically and the timepoint is not marked as biobanked.

Biobank patient numbers (MPI) whose tubes clearly identify a patient that has no ORBIS number yet. Confirm each one individually — nothing is written automatically.

Tubes without a deterministic match. Suggested rows are pre-filled — correct or confirm them. Assign patient (and optionally timepoint), then save.
